Before you start

  • You are signed in with an admin account
  • To grant the HR viewer role, the organization already exists in the organization workspace and the person has an account

Steps

  1. Open course feedback
Admin > Analytics > Course feedback, or the "Course feedback" card on the Admin Overview
  2. Read the results
The Results tab shows statistics per course and session; use the organization reports for organization data
  3. Moderate comments
On the Comment moderation tab, publish, withhold, or edit and publish each held comment
  4. Track form performance and retention
On the Form performance and retention tab, read the performance numbers and run the dry run and cleanup when something is past the limit

What you should see

Feedback statistics per course and session, no held comments left (or each one handled), the form performance numbers, and nothing past the retention limit.

Where it is

Admin > Analytics > Course feedback. The Admin Overview also has a "Course feedback" card with the number of comments awaiting review and a link. The page has three tabs: Results, Comment moderation, and Form performance and retention.

Results

Rating statistics for every course and session, with the same rules as the Teacher area: a session with fewer than 5 responses shows no numbers, and nothing identifies a person. Feedback from event-code sessions (not bound to a course) appears too, attributed to the course the learner opened the form for. The button below leads to the organization reports: choose an organization to see its statistics, the platform baseline, the response rate and de-identified comments, and to download a CSV.

Comment moderation

A comment is Held for review, Published, or Withheld. The page shows the learner's original text (admins only) next to the masked text HR would see, and never the author.

  • Publish: the masked text becomes visible to HR viewers
  • Withhold: nobody sees it except its author
  • Edit and publish: you can rewrite the masked text; it is masked again when saved, so an email or phone number cannot be pasted back in
  • Comments with harassment, threat or secret-related wording go to "Held" automatically; a learner editing a comment triggers the check again

Grant the HR viewer role

Open the organization's workspace, add a member and choose the role "HR viewer (feedback only)". The role is read-only and covers only that organization's course-feedback statistics and de-identified comments; it gives no access to anything else in the organization (for example Use Cases) or to other organizations. People with the role see a "Course feedback (HR view)" link on their Account page.

Form performance

Shows whether a form redesign works, from anonymous aggregate counters only: completion rate, start rate, median and P75 completion time, omission rate, invalid-submission rate, the answer rate of each open question, and an 8-week trend with the form version.

Info

Merge rule: with at least 30 timed responses and a median completion time above 3 minutes, the card recommends merging "most helpful" and "needs improvement" into one guided open question.

Retention

  • Original feedback (ratings, comments and the account link) is kept for at most 24 months
  • A monthly automatic "dry run" counts what is past the limit and writes an audit row; it never deletes anything, and the Admin Overview shows a note when something is past the limit
  • Cleanup is on the "Form performance and retention" tab: run the dry run first, then type DELETE to enable the delete button. Deletion removes the responses and their comments permanently and cannot be undone

Reminder emails and audit

  • One-time reminder email: a learner who received a course credential 1 to 14 days ago and has not left feedback gets one bilingual invitation, never a second one for the same course, at most 100 per run. It is off in production by default and only starts when the engineering team enables it
  • The audit log records comment moderation, HR reads and exports, retention dry runs and cleanups, and every reminder run; entries hold the organization, the kind and counts, never comment text

Common problems

  1. Statistics say there are not enough responses
Below 5 responses no numbers are shown, to protect anonymity; they appear once 5 have arrived.
  2. The HR contact sees nothing
Confirm they hold "HR viewer (feedback only)" for that organization and that the organization has at least 5 responses for the course.
  3. The delete button is disabled
It only turns on after you type DELETE in the field.
